How to issue an invoice

To receive money for services, the courier service company must issue an invoice to the client for the payment. The system allows you to issue invoices based on customer orders for certain periods.

This article describes only the invoice issue scenario. For more information, see Invoices.

Invoice issue form

To issue an invoice:

  1. Go to Clients → select a client →right-clickInvoice.
  2. If the client has several Departments, select the required one.
  3. Select the Basis for the invoice. It defines how the client pays for the courier services.
    • Orders - the client pays for all deliveries in the orders;
    • Funds transfer certificate/ goods and materials - the courier service company deducts the cost of delivery from the payment for the client's goods. For example, a courier delivered goods from an online store to the recipient and received 100 dollars. Then the courier returns this money to the courier service company, and the courier service company returns it to the online store. With this approach, a courier service can withhold 20 dollars as the delivery cost, then transfer 80 dollars to the online store.
  4. Specify the Invoice Period. Orders created within this period will be included in the invoice.
  5. Specify the Delivery Date.
  6. Enable the Prepayment option if the client pays for services before they are completed. In case of prepayment, the system debits money from the client's balance.
  7. Enable the Cash option if the client pays for services in cash.
  8. Set the Exchange rate for the client. In this field, specify how many dollars are in the currency unit of settlements with the client. Or click the More.png button to have the system fill in the values. For example, if the client pays for services in euros, then specify the exchange rate of 1.02: 1.2 euros in one dollar.
  9. Specify the Customer Discount as a percentage.
  10. Select the Form Type for invoice printing.
  11. Enable the Limit option to specify the minimum possible invoice amount.
  12. Enter the Invoice number. Or click More.pngto have the system fill in the number.
  13. Enable the Show zeros option to display rows with prices of zero in the table.
  14. Specify the number of invoices, certificates and tax invoices to be printed.
  15. In the Responsible person field, select the employee who issued the invoice.
  16. If required, write an arbitrary Note to the invoice.
  17. Check the positions in the Details table. It lists the services that will be billed. There are additional buttons for working with the table:
    • More — additional information about the positions in the table;
    • Addresses - Displays a list of shipments that are billed. It may include only a part of the shipments from the order;
    • Functions - opens a menu of additional functions. Available only for issued invoices;
    • Recalculate - the system will combine the data from the shipment and add it to the table. If necessary, the data can be changed. If the number of shipping prices is greater than the rows in the table, the system will merge the positions. An item will be created with a quantity of 1 and a cost equal to the sum of all deliveries.
  18. If required, send the invoice to Print. The system will send a set of documents to the printer by default: an invoice, two acceptance certificates, tax invoices.
  19. Click OK to save the invoice. It will be available in the top menu section DocumentsInvoices.
